Summary of Position:  Responsible for supporting the department head by performing vital administrative and clerical accounting functions following established procedures and generally accepted accounting principles.

Department: Business Services

Status: Full-time

Supervisory Responsibility: Yes

Work Schedule: Monday - Friday, 8 a.m. to 5 p.m.

Pay Range: $43,680 - $48,048

Supervised By:  Assistant Finance Director/Business Management

Key Functions: 

Cash handling-specific
40%: Process and record revenue for deposit. Issue receipts for funds received. Process and prepare retail cash bags. Serve as custodian of cash fund to include counting, verifying, and recording balances. Investigate and report all cash fund discrepancies. Generate, review, and distribute scheduled reports. Maintain petty cash fund operations and ensure documentation and authorization is secured prior to disbursement.

Accounts payable-specific
25%: Process accounts payable (A/P). Ensure accurate vendor information and supporting documentation is maintained. Enter information into Union accounting software, referencing University agency payment voucher (APV) invoice codes. Reconcile APVs and A/P checks. Process corporate credit cards for payment, verifying supporting documentation is provided by card-holders. Maintain accurate files and records. Generate and review A/P monthly reports.

Accounts receivable-specific
25%: Process accounts receivable (A/R). Prepare, verify, and process invoices for sales and services rendered. Reconcile accounts. Research, resolve and report account discrepancies and adjust accounts as directed. Secure current account information for departmental charging privileges and ensure appropriate approval. Communicate with customers regarding account status. Obtain tax form information from customers as necessary. Maintain accurate files and records. Verify delinquent accounts and solicit payments of overdue accounts. Communicate with vendors and clients regarding payment inquiries, invoice discrepancies, and account-related matters. Generate and review A/R monthly reports.

Departmental functions
10%: Analyze and consider posted data for trends, discrepancies and forecasting, and report findings to department head. Assist with financial analysis tasks, such as variance analysis, budget preparation, and forecasting. Serve as department lead in the absence of department head. Provide support during internal and external audits by preparing documentation, gathering requested information, and assisting auditors as needed. Oversee lost and found service on behalf of the Union. Attend trainings, events, and departmental meetings as required. Serve on both internal and external committees. Perform other duties as assigned and instructed.

 

Qualification Requirements:

Education - Minimum 

  • High school diploma (or equivalent) and seven or more years of demonstrated experience;  
  • Associate’s degree from an accredited institution and five or more years of demonstrated experience; or
  • Bachelor’s degree from an accredited institution and two or more years of demonstrated experience. 

Education – Preferred 

  • Associate’s degree from an accredited institution and five or more years of demonstrated experience.

Experience - Minimum Demonstrated

  • Bookkeeping/accounting experience;
  • Computer applications and accounting systems experience;
  • Customer service experience; 
  • High degree of accuracy, attention to detail, and organizational skills;
  • Accurate data entry skills

Experience – Preferred Demonstrated

  • Demonstrated experience in QuickBooks accounting software
  • Three or more years of demonstrated experience with Microsoft Office programs, with a specific emphasis in Excel
  • Experience in a university and/or student union environment

Skills and Abilities

Work in a general office environment. Remain seated/stand 75% of shift. Finger dexterity/movement for typing, picking up small objects and utilizing varying office equipment. Hearing for average or normal conversations and to receive information. Sight to view computer, documents, and general office machinery. Verbal and written communication to present, convey and exchange information and ideas accurately and quickly. Move, transport and position equipment weighing up to 10 pounds. There are no hazardous or significantly unpleasant physical conditions. Reasonable accommodations may be made to enable individuals with disabilities to perform the key functions of this position.
